(A discounted rate may be negotiated for weekly/monthly rentals)
The United Church Women are responsible for
overseeing the use of the large kitchen and reserve
the right of first refusal for the provision of food for rentals.
Should the UCW not wish to provide the food, the kitchen may be rented with the provision that a
UCW member will be present

USE OF ST. JOHN’S UNITED CHURCH FACILITIES
This document has been developed to clearly outline the process to be followed by any group, organization or individual using St. John’s United Church for special events, fundraisers and activities. It is also developed to ensure that St. John’s United Church groups, committees and membership, have reasonable and fair access to the Church’s facilities while sharing them with community groups and organizations.
BOOKING of FACILITIES
A Facility Rental Application must be completed for rental of Church facilities. It may be found on the Church Website Facility-Rental-Application-HERE or obtained from the Church Office
A Booking Fee may be required at confirmation of booking and deducted from final rental amount.
The Rental Application will be forwarded to the volunteer(s) responsible for overseeing the space in question for their review and comment. ( ie Property Chair, UCW, )
Once the facility rental application has been reviewed and all details agreed upon, the Office Administrator will prepare a Rental Agreement-HERE for signing.
Rentals are not confirmed until completed and signed by all necessary parties. Copies will be provided for future reference.
Bookings are made on a “first come” basis with priority given to those groups and organizations who have maintained bookings from year to year.
Bookings should be made well in advance as some events may require Church Council approval.
Key Codes/ Keys must remain in the possession of the individual signing for them
A Fee Schedule will be maintained and reviewed on an annual basis.
The room rental fee covers the use of the room(s) for the times specified only.
Full payment is required at least one week prior to an event or on a monthly basis for weekly/monthly bookings. A discounted rate may be negotiated for weekly/monthly bookings.
If a booking is cancelled the day of, or if the renter fails to notify this office of the cancellation of a booking,
50 % of the rental may be retained. Should the cancellation be due to inclement weather, all payment/deposits will be refunded.
St. John’s United Church reserves the right to cancel a booking should an unexpected congregational need arise; however, all efforts will be made to accommodate both events.
A valid certificate of Third-Party Event Liability Insurance with St. John’s named as Insured is required.
The United Church Women reserve “first right of refusal” for the provision of food.
All rental inquiries regarding the use of the large kitchen and/or the provision of food will be forwarded to the UCW Social Committee contact.
The UCW will be responsible for the negotiation of menus and will maintain an up-to-date price guideline.
Church parking is available in the east lot immediately adjacent to the auditorium and in the west lot accessible from Canrobert Street.
